RTX Hotels 2.0Housing Opens on January 29, 2013 RTX has secured room blocks at specially discounted rates. These room blocks are managed by a housing bureau, not the individual hotels. In order to receive these discounts, reservations must be made on line via the RTXevent.com web site. You will not be able to secure these rates by contacting the hotels directly.
New Reservations, Modifications, Cancellations - Please do not call hotels, but go to the official on-line Passkey GroupMax housing website through ( RTXevent.com ). Changes and modifications may be made online using the acknowledgement number you receive once you have booked.
Deposit & Taxes A credit card number is required to guarantee all reservations and is processed upon arrival, with the exception of the Hilton Austin hotel. They will charge 1 night's deposit on June 4th, when they download reservations from the web site. All rooms are subject to a 9% lodging tax if you are tax exempt, 15% if you are not tax exempt.
Housing Deadline is June 4th You must make your reservation by June 4th to qualify for discounted rates; however the RTX room block may be sold out before this date, so make your reservations early. Requests for rooms pre/post-convention may not be available through the Housing Bureau. Please contact the hotel directly for additional room nights needed based on availability at the regular rate.
You can continue making modifications or cancellations until the web site Close date of June 27th, and after this date you will have to contact the hotels directly.
Booking outside the "RTX Window" If you want to book nights outside of the contracted room nights at the discount rate, you will have to contact the hotel directly for availability at the regular rate. Hotels that do not show on the screen to book from, after the attendee has selected the arrival, departure dates, number of rooms and room type needed, are not available based on information provided.

Some hotels will hold an additional amount on the credit card you provide at check in. This is used to cover any damages or room charges. Find out the policy before you check in. Most common I have seen is $100 for the entire stay. Other times it can be $25-50 per night. Or any other wacky combination. It sucks budgeting a trip to find out they hotel will be holding onto a chunk of money until you check out. Even then it can take 5-7 Business Days for the authorizations to be released (depending on the type of card and the bank).
If you plan on paying cash for the room when you arrive, be prepared to still have to put up the CC for the deposit. Some properties might allow a cash deposit, but find out ahead of time.
I worked in a 2200 room hotel in Las Vegas for a number of year and hated these policies and the havoc they can put on someones vacation budget.

A kind note about calling the hotel "just to be sure":
Please do not call your hotel "to be sure" until after 11-Jul-2013.
